Reports in Robin AI can be either public or private, which determines who can view and access them within your organisation.
Public vs Private Reports
Public Reports: Visible to everyone in your organisation
Private Reports: Only visible to specific users who have been granted access
Default Access Settings
- When a report is first created, it is set to "private" by default
- Only the creator of the report can initially view it
- The creator has "Owner" status and full permissions
Why You Might Not See a Report
- The report is set to private and you haven't been given access
- You need specific permissions to be added by the report owner
- Your account may not have Reports functionality enabled
How to Gain Access to Reports
If You Need Access to a Specific Report:
- Contact the report owner or creator
- Ask them to share access through the sharing settings
If You Can't Access Reports at All:
- Check with your administrator to ensure Reports is enabled for your account
- Verify you're logged into the correct workspace
Sharing Reports with Colleagues
If you're a report owner, here's how to share your report:
- Click the three vertical dots to the right of the reports title of your report
- Select "Share"
- Use the search function to find colleagues
- Select their names to add them
- Click "Update and share" to grant access
Important Notes:
- Users with access to a report can see all contracts within that report
- The report owner cannot be removed from the access list
- When you share a report, users will receive an email notification

- Only share reports with colleagues who need access
- Regularly review and update sharing permissions
- Consider using public reports for team-wide analyses
